This Privacy Policy explains how Braynix Books ("we", "us", or "our") collects, uses, and protects your information when you use our bookkeeping platform.
1. Information We Collect
Account information: Your email address and any profile details you provide during sign-up.
Financial data: Invoices, bills, expenses, customers, vendors, bank transactions, and other bookkeeping records you enter into the platform. This data is yours and stored exclusively for your use.
Usage data: Basic technical data such as browser type, device type, and usage patterns to improve the service. We do not use third-party analytics trackers.
Payment information: When paid billing is enabled, payments are processed by a secure third-party payment provider. We do not collect or store card numbers inside Braynix Books.
Contact messages: If you submit a message via our contact form, we store your name, email, and message to respond to your enquiry.
2. How We Use Your Information
- To provide, maintain, and improve the Braynix Books service
- To authenticate your identity and secure your account
- To process subscription payments when paid billing is enabled
- To respond to your support requests and contact form submissions
- To send service-related notifications (e.g. trial expiry reminders)
- To detect and prevent fraud or abuse
3. Data Storage and Security
Your data is stored on Supabase infrastructure, which uses AES-256 encryption at rest and TLS in transit. Row-Level Security (RLS) policies ensure your data is completely isolated from other users — no one else can access your financial records.
We maintain automated backups and history snapshots of your company data to protect against accidental data loss.
4. Data Sharing
We do not sell, rent, or share your personal or financial data with third parties except:
- Payment provider — for subscription payment processing when billing is enabled
- Supabase — for database and authentication infrastructure
- Resend — for transactional email delivery (invoice emails you choose to send)
- When required by law or to protect the rights and safety of our users
5. Your Rights
You have the right to:
- Access your data — export your complete company file anytime from Settings → Data & Export
- Correct your data — edit any information directly within the app
- Delete your data — contact us to permanently delete your account and all associated data
- Data portability — download your data as JSON or CSV at any time
- Withdraw consent — you may cancel your subscription and stop using the service at any time
6. Cookies
We use only essential cookies and browser storage (localStorage) for authentication session management and application preferences (such as theme). We do not use advertising or tracking cookies.
7. Children's Privacy
Braynix Books is not directed at children under 18 years of age. We do not knowingly collect personal information from minors.
8. Data Retention
We retain your account data for as long as your account is active. If you delete your account, we will permanently erase your data within 30 days. Anonymised, aggregated usage statistics may be retained indefinitely.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you via email and an in-app notice at least 14 days before material changes take effect.
